What is Conditional Formatting in Excel?

Conditional Formatting is an Excel Tool that allow users to apply custom cell formatting to a selected cell or it can be a selected range based on criteria. The criteria can be set by using hard code value or by using a formula.

For example, You have a range A2:A10 which contains numbers between 1 to 9 in each cells. Now it is difficult to look for a number say 8 from this range within seconds. But if you apply a conditional formatting with a condition that, if the number is 8 then it becomes YELLOW as fill color. After applying this you can easily find the number 8 from the range in milliseconds.

If you think that, A2:A10 is very short range where only 9 cells need to look and you will find it easily. But think, you have a table, whose range is A2:G10, now how can you find the 8?

Conditional Formatting is a way by which an additional formula or a set of additional formula can inject into each cells.


What are the types of Conditional Formatting?

For data analysis an MIS Executive should know how to use the Conditional Formatting in right way to focus the criteria values in cells. I should say, it is one of the great tool for data analysis In Excel. In Excel 2007 or upper PC/Mac version there are 5 different types of Conditional Formatting. These are:

(1) Font Color: By applying a condition like greater than, less than, equal to etc. you can set a font color to a range of cells formatting.

(2) Fill Color: By applying a condition you can set a fill color to a range of cells formatting.

(3) Data Bars: By applying conditional formatting as data bars, it is easily found that, which cell's contains the maximum values or percentage.

(4) Conditional Icons: If condition meets, then condition icons show in a range of cells.

(5) Color Scale: Color scale is helpful to find the maximum, minimum and average data.

(6) Custom Number Formatting: By this way it is possible to add special character with color in charts so that an additional condition in chart injected absolutely FREE.
